Checkin 1.0 is a system that integrates several registration functions and processes into one unit and will make life easier for those at the check-in desk.
The overall objective in designing this system was to enable us to process a normal registration (one without issues) in a maximum of 3 minutes. In order to achieve this goal, our attendants should arrive better prepared. Note the Do's and the Don’ts for a smooth check-in.
3 minute processing time goal
This is the time we envision an attendant with everything in order will spend at the desk. The registrant is required to register early, sort their problems if any, as soon as they can, avoid making last minute adjustments to their registration and completely abandon the idea of registering on site. The Checkin 1.0 system does not involve manual lookup of cards, names or receipts. This saves the attendants a great deal of time. Below are the requirements for cutting the waiting processing times.
What is needed at the desk?
An ID of the attendant will be requested plus a UNAA registration receipt. The attendant will then be processed and given a convention packet and an access band which will be different from those you have seen in the past. Each attendant is required to appear in person at the desk to be checked-in. Checking in other attendants will not be possible.
Attendant Problems
An attendant with a problem will log their problem at a special desk. We intend to separate people with issues from those that only need 3 minutes or less to go through the check-in. Once a problem is logged, a waiting period will be assigned. Bigger issues, eg, last minute adjustments, will require longer waiting periods. In this period attendants can go and do other things and come back when all is ready. On the other hand, expediency will be enjoyed by the prepared registrant as seen below.
Express Lane
Attendants that will have everything in order will be able to pickup their registration package, check-in and move on in a maximum of 3 minutes. Attendants will save a lot of time on this lane which brings me to the list of Dos and don’ts that can land more people on the Express lane.
Don’ts
- Try not to loose your access band because there will be a charge (fee) to replace it. Once this happens, the old access band will be cancelled and will be unusable at the ballroom door.
- Don’t plan to register on site even if it has worked for some attendants in the past. We hate to disappoint anyone and we don’t want to be the only thing that is standing between the unregistered attendant and the convention excitement. We have made it very hard and inconveniencing for those who plan to beat the system. There will be no on-site registration and those at the desk will have no ability to register attendants. Attendants should not line up just to get onsite registration. Potential attendants should take advantage of the remaining registration window. Deadline is August 15th 2008.
- Don’t wait until the last minute to register as attendants who registered before the cutoff date will take our first priority. We don’t expect a person who switched their registration on the eve of the convention to complain too much for a delay they have obviously caused. One way a registrant can offset delays caused by last minute adjustments to their registration is by arriving early to take advantage of the early-check-in as explained below.
Do's
- Early bird check-in
Attendants who will be in the hotel from Wednesday evening through Thursday, before Friday, will have the opportunity to check-in early.
- At the ballroom doors
Attendants will need their access bands at all times to be admitted. Security personnel are not required to remember faces. It is said that a fish’s memory span is 3 seconds and we intend to take that approach. If organizers want to get in, a temporary express lane will be created but this lane will also require access bands.
Summing it all up
The new Checkin 1.0 system has been developed to address our challenges and outlined above are what is required to prepare for a fast check-in. You now know what will happen at event doors, and the things to avoid to ensure a smooth check-in. One thing is clear; last minute adjustments to one’s registration will cost them in time while the prepared attendant will calmly and swiftly pace onto the convention check-in red carpet. |
